A 600 EGP injection looks like a great earner. Then you count the syringe, the ampoule and the other supplies, and it turns out the procedure costs you 185 EGP before anything else. Most clinics know their procedure prices well. Far fewer know the exact cost behind each one.
Kashfy has a procedures catalog in Settings that keeps price, supplies, cost and margin in one place. The doctor then adds the procedure to the visit in a couple of taps. Here is how it works, step by step, and where it stops.
What is in the catalog
Each procedure has an Arabic name, an English name, the price the patient pays, and the items it uses. A joint injection, for example, might use a syringe, an ampoule and a splint. Every item has a quantity and a unit cost to the clinic.
Kashfy adds up the cost and shows the margin next to the price. So instead of working it out on paper, you see straight away that a 600 EGP injection costs you 185 EGP in supplies.
Setting up a new procedure
- Open Settings and go to the procedures catalog.
- Type the name in Arabic and English.
- Enter the price the patient pays.
- Add the items one by one, with quantity and unit cost.
- Check the cost and margin shown beside the price, then save.
If you stop offering a procedure, turn it off instead of deleting it. It leaves the list, but its history stays.
How the doctor adds it during the visit
On the visit screen, the doctor searches the catalog and adds what was done. The price comes from the catalog, so there is no typing and no mental math. It sits with the rest of the visit on one screen, as described in the visit workspace.
For special cases, the doctor can change the price for that visit only: a discount for a regular patient, or a second joint in the same session. The card shows the catalog price next to the changed one, so you can always see how much discount was given.
How the bill is built
The visit bill is the visit fee plus its procedures. Right underneath you see what has been paid and what is left. Reception sees the same numbers when taking payment, and a payment recorded at the desk shows up for the doctor without refreshing.
The patient is billed the procedure price only. Item costs are the clinic's own numbers and the patient never sees them.
If you change a price today, do yesterday's bills change?
No. Each visit keeps its own copy of the procedure's name, price and items from when it was added. Raise the injection price tomorrow and every earlier bill stays exactly as it was.
Once a visit is fully paid, it is locked. After that, only a manager can change its procedures, so the books stay the books.
Procedures vs services
These two are easy to mix up. The services catalogue is what patients book: a consult, a session. Procedures are what the doctor does during the visit, added on top of the visit fee. Both matter, each has its own job.
What you can do with the numbers
- Spot procedures with a thin margin and review their price.
- Decide how much discount you can give without losing money.
- Talk to your doctors with real numbers when you discuss pricing.
- Revenue lands in Revenue and Finance like any other visit.
Limits to know about
- The margin only counts the items you entered. If you forget a supply, the number will look better than reality.
- You type the unit costs and you update them when supplier prices change.
- Editing a catalog price does not touch past visits. That is intended, but it means a new price applies from the next visit on.
All of this is included on every plan with no add-ons. Kashfy charges per booking, not per doctor, and the first 30 bookings are free. See the pricing page for details, or the procedures and costs page for the feature itself.
