The Visit Workspace: Run a Whole Visit on One Screen

How a doctor runs a full visit on one screen: patient history, allergies, today's record, prescription and procedures, all the way to End visit.

The patient walks into the exam room and the doctor has about 10 seconds to learn who they are: first visit or returning? Any allergies? What was written last time? When the file is paper, or spread across several screens, those 10 seconds become minutes, and sometimes an allergy gets missed.

This post walks through what the doctor sees in Kashfy's Visit Workspace, what the clinic owner gains, and where the feature stops.

Before the doctor opens the visit

The booking arrives from WhatsApp or reception and lands as a card in the Reserved column of the appointments board. When the patient arrives, reception taps once to move them to Arrived and a queue number prints. The doctor picks the next patient from the top of their column and opens the visit. The board is covered on the appointments page.

The top of the screen: who is in front of me?

At the top you get the patient's name and age, a First visit badge if it's their first time, how many earlier visits they've had, the date of the last one, and the total they've paid the clinic. Below that, allergies and chronic conditions show as red and amber chips.

So if the patient is allergic to penicillin, the doctor sees it without opening a profile and hunting for it. That is the most valuable part of those first 10 seconds.

Previous visits as cards

Earlier visits sit in a row of cards, newest first. Each card is a whole visit: complaint, examination, lab and radiology results, provisional diagnosis, management plan, procedures, drugs prescribed and what was paid. Scroll sideways, and tap All details on the one you need without leaving the page.

One thing to know: a card only shows what was actually recorded. If a visit only has a complaint and a drug, that's what you'll see.

Today's record, in the order the doctor thinks

Today's visit is written in sections that follow the order doctors already work in:

  1. Complaint
  2. Examination
  3. Investigation results (lab and radiology)
  4. Provisional diagnosis
  5. Management plan
  6. Prescription & orders
  7. Procedures, from the clinic's own price list

Every field saves by itself when you move to the next one, and you see Saved next to it. If the power cuts or the tab closes, what you typed isn't lost. Nothing is mandatory either: write what the visit needs and leave the rest.

Inside the same screen you write the prescription with the prescription writer and send it to the patient on WhatsApp. You add what you did from the procedures catalog. The price comes from the catalog, and you can change it for this visit only (a discount for a regular, for example) without touching the catalog price. The bill is the visit fee plus the procedures, with what's paid and what's left right under it.

The side cards: Facts, alerts and the AI briefing

Three cards sit on the side:

  • Facts: lasting history you build over time, like "Diabetic since 2020" or "Appendectomy 2015". If you remove a fact, it stays listed under Removed with the reason.
  • Medical alerts: allergies, chronic conditions and current medications.
  • AI quick briefing: built only from what's on the record: earlier visits, notes, prescriptions, orders, Facts and alerts.

The briefing summarizes what's written and never guesses a diagnosis. It's also only as good as the notes already there: if the record is empty, it has nothing to summarize. After new notes, hit Refresh and it rebuilds.

End visit, and what the owner gets

When the doctor finishes, End visit closes it and the patient moves to Done on the board, and the revenue is logged. If reception takes a payment, it shows on the doctor's screen without a refresh.

Doctor notes stay private to that doctor, and the owner sees everything. A patient opening their own file with a PIN sees their visits, prescriptions and results, but never the doctor's private notes. If the doctor needs a sick leave or a report, the Write MR button is on the visit page and the report stays tied to that visit (medical reports).

The limits, honestly

  • Kashfy starts fresh: there's no migration of old files. An existing patient gets a profile when they book, and their history builds from then on. So the previous-visits row starts empty.
  • Once a visit is fully paid, only a manager can change its procedures.
  • It works on a tablet or phone, where the side cards move under today's record.

The Visit Workspace is included in every plan at no extra cost, and the first 30 bookings are free. See the pricing page.

Frequently Asked Questions

Do I have to fill every section?

No. Write what the visit needs and leave the rest. Previous visit cards only show what was actually recorded.

What if I close the tab in the middle of a visit?

Nothing is lost. Each field saves by itself when you move on, and Saved appears next to it.

Does the AI briefing diagnose?

No. It summarizes what's on the record and never guesses a diagnosis. Hit Refresh to rebuild it after new notes.

Can I import my old paper files?

Kashfy starts fresh. A patient gets a profile when they book and history builds from then on. Old files stay where they were.
